Airbus External Recruitment Website aims at attracting, selecting and appointing suitable candidates externally for either permanent or temporary job, as well as Early Career position such as internship, apprenticeship , VIE, thesis contract etc. within Airbus; and to ensure a responsible, effective and compliant recruitment process for each application.

The protection of your privacy and Personal Data is an important concern to which we pay special attention throughout our external recruitment processes.

However, the Website will include links to other websites or applications which are not necessarily covered by this Privacy Notice. In this event, we encourage you to carefully read when you access and use our external recruiting Website; how we use and disclose your Personal Data; how you can control the use and disclosure of your Personal Data; and how we protect your Personal Data.

What is personal data?

Personal data is information that can be used to identify a person either directly or indirectly. 

What personal data do we use?

The types of data marked by (*) might be mandatory depending on the country or Airbus sites where you apply for.

Under the Airbus recruitment process, we might process the following types of personal data:

  • Identification data and contact details (such as name, first name, mobile phone number, personal email address, gender*immigration/nationality*, date of birth*, home address*,country or place of birth*, marital status*, criminal record*, photo, disability worker status (optional), race/ethnicity*, religious affiliation*,…)
  • Professional experience and training relevant for the application hiring (such as any information included in curriculum vitae/resume, education, education level, educational institution, experience, letters of reference, references, work history, hobbies, interest categories, languages, non-for-profit organisation/community involvement, education program, education records, exam/test results, high school diploma, grades / Grade Point Average (GPA)*, green card/work permit* status, military service information, professional memberships, data concerning interviews, professional skills/personality assessment (including results), development aspiration, work permit*, awards, prizes or recognition, …)
  • IT data /Digital activity data (such as account information such as role and permissions, settings and preferences, login, password, IP address, MAC address, logs, device type,…)

The above list may evolve in order to comply with local legal obligations as highlighted in the Section “Additional countries specificity notice”.

We may collect this personal data either:

  • directly from you while completing your candidate profile and relevant  assessments (by fulfilling a form, via interview,  by entering contact details notably in your candidate profileby navigating to our external recruitment websites, etc…).
     
  • indirectly for those personal data that you or official public governmental authority have made publicly available and/or from third parties in particular from professional social media (if selected by the candidate), temporary agencies and/or headhunting processes.

For selected candidates only and in the course of the setting up of employment contract (where applicable), complementary personal data (such as identification data, social and family circumstances data) will be collected. If you are hired, the information you have completed on your candidate profile on Airbus Careers website will be your personal data in your candidate profile in Airbus Careers website and will be transferred to your Airbus employee’s profile. Once the transfer is done, the data can be modified at any time and at your discretion. 

What are the purposes of the processing of your personal data?

We process your personal data for the following purposes:

  • Recruitment management. Depending on the position, we may use your personal data to:
    • Notify of recruiting events;
    • Assess candidate applications and ensure applications selection by checking the adequacy of your application with positions to be filled;
    • Identify and contact qualified candidates that could match open positions;
    • Conduct in-persons and/or online recruitment interviews;
    • Verify education credentials, references and compliance (ethical integrity) and/or security background checks;
    • Facilitate corporate communications and collaboration; 
       
  • Airbus Careers recruitment website and other recruitment related applications management. We may collect your personal data to grant you access rights to any relevant application supporting Airbus’ recruitment processes and manage your candidate profile, your applications, support pre-selection, candidate recruitment experience, personality tests, video interview and exchanges with us. We may also perform data analytics for Candidate user experience, Airbus recruitment process and Airbus Careers website performance improvement and/or IT resource and services optimisation.
  • Candidate pool management. We keep your personal data in your user profile in case of any new job opportunity within Airbus. Your personal data will be used to communicate with you and send you any other/new positions that might be relevant to you.
  • Legal complianceWe use your personal data to comply with applicable legal obligations related to recruitment and labour law, as well as immigration laws, inclusion and diversity laws or to comply with export control regulations, national security and/or responding to an authority or court order or discovery request.
  • Human Resource management. For selected candidates only, we may reuse some of your personal data provided during the recruitment phase for the purpose of HR and administration management (from contract set up to your onboarding, including your Airbus profile).
  • To protect us and others. Where we believe it is necessary to investigate, to manage internal or external audits, reports or inspections, prevent or take action regarding illegal activities, ethics and compliance incidents and/or conflict of interest management, secure hiring / export control compliance, litigation management, company law duties and mandate management, to ensure security and confidentiality of property (including intellectual property, business operations, assets and information), suspected fraud, situations involving potential threats to the health and safety of any person, violations of policies or terms of use.

We will use your personal data for the above Purposes only. If we need to use your personal data for other purposes, we will notify you prior to this further personal data processing and provide you with a revised version of this Privacy Notice, or a separate privacy notice, as applicable.

What is the legal basis for the processing of your personal data?

Subject to applicable law, we process your personal data under the following legal basis:

  • To perform and comply with (pre)contractual measures. When you apply to an open position and participate in the recruitment process (such as but not limited to the creation of your account profile in the Airbus Careers website, job application related data, interview performance,...) and/or for selected candidates only to create your employment offer or to set up the employment contract (where applicable)
     
  • To comply with legal obligations. Airbus, as any other company, is subject to legal obligations and regulations, notably obligations resulting from local labour law in the context of recruitment activity. In some cases  (such as to assess the candidate employability and professional skills, work permit authorisation for foreign workers) the processing of your Personal Data will be necessary for Airbus in order to fulfil these obligations.
  • As a result of your consent. For some countries only,  if you have consented to the processing of your Personal Data for providing disability information or for the transfer of your personal data to the E.E.A where your personal data will be stored. You can withdraw your consent at any time by following the process described in Section “What are your rights and how to exercise them?”
  • Within the scope of Airbus’ legitimate interest. On occasion taking into account the minimum privacy impact for you, the processing of your personal data might be necessary for the following legitimate interest:
    • for being part of the talent management pool of candidates and receiving newsletters, emails or other communications regarding updates on the Airbus Careers website such as new job opportunities in Airbus that might be of interest to you.
    • for your digital candidate account profile in any relevant digital recruitment application management (e.g. for personality tests, video interview...);
    • for compliance with local and foreign law, law enforcement, court and regulatory bodies’ requirements, including but not limited to US Export Control and employment laws;
    • for preserving security and confidentiality of Airbus’ information systems and networks;
    • for product development and enhancement (including the analysis and optimisation of the Airbus Careers website / Process / Application / Newsletter);
    • for communications, and employer brand marketing.

Who will receive your personal data?

Subject to applicable law, we may disclose your personal data to the following authorised recipient(s) on a need to know basis and subject to appropriate contractual safeguards when legally required: 

  • Airbus and its Affiliates  (any business function involved in supporting the recruitment process such as HR, hiring managers, legal and compliance, IT and security,....). Notably, if you register your candidate profile in the Airbus Careers website, then all internal business functions involved in recruitment with access to the search function in the candidate database will have access to your profile.
  • Authorised persons working for or on behalf of Airbus, including our agents, service providers and advisers providing the variety of products and services we need such as: HR recruiting agency, any HR recruitment digital tools and applications (videos, personality tests, skills match...), IT maintenance and support, HR compliance and security services;
  • Public institutions in connection with employment for selected candidates (e.g. unemployment insurance, health insurance companies, pension,...);
  • Other authorised third parties in connection with any merger, reorganisation, a sale of some or all Airbus assets, or a financing or acquisition of all or a portion of our business by another company;
  • Law enforcement or authorities or other legal processes to comply with applicable law.

Under no circumstances does Airbus sell or transfer your personal data to third parties for commercial or advertising purposes.

Is any of your personal data transferred overseas ?

The management of recruitment activities across Airbus is carried out through the Airbus Careers website for most Airbus companies. Except for Airbus companies located outside the European Economic Area or the UK, your personal data will generally be processed from the European Economic Area and/or in the UK and are stored in the European Economic Area. We may therefore share your personal data within Airbus for Airbus daily business activities and internal organisation.

Such personal data transfers are covered by our  Binding Corporate Rules. The Binding Corporate Rules is an intra-group agreement which includes contractual protections to ensure that your personal data receives an adequate level of protection wherever it is transferred within Airbus.

In addition, to the extent that some personal data might be shared to third parties located outside the European Economic Area, the UK, and/or your country of origin, we will always take steps to ensure that any transfer of information is carefully managed to protect your privacy rights:

  • We will only transfer personal data to countries which are recognised as providing an adequate level of legal protection or where we are satisfied that arrangements are in place to protect your privacy rights, and/or
  • transferred to service providers and other third parties that will be protected by contractual commitments (such as the European Commission-approved Standard Contractual Clauses, UK International Data Transfer Agreement) or other legally acceptable mechanisms that ensure an adequate level of protection, and/or
  • any requests for personal data information we receive from law enforcement or regulators will be carefully checked before personal data is disclosed.

How long will your Personal Data be stored?

Personal Data processed on the Airbus Careers website will be deleted from the active database 12 months after your last login at the latest. However, subject to applicable law, we will retain this data in our archives for the period required by law. 

If you wish to delete your personal information on the Airbus Careers website, you can do so at any time on your profile settings in your candidate account. Your candidate account, candidate profile and related job applications will be deleted within fifteen (15) days at the latest, unless you have an active application ongoing that will put your deletion request on hold. You can otherwise exercise your rights of deletion by following the process described in Section “What are your rights and how to exercise them?”

Please note that if you delete or ask for the deletion of your Airbus Careers account, you will not be able to benefit anymore from the applicant experience on Airbus Careers website.

What about the security of your personal data?

We use technical and organisational security measures in order to protect the personal data we have under our control against accidental or intentional manipulation, loss, destruction and against access by unauthorised persons. Our security procedures are continually enhanced as new technology becomes available.

What are your rights?

At any time you may exercise your personal data protection rights as listed below by contacting us at dataprotection@airbus.com:

  • Right to know/access/obtain a report detailing the information held about you: You have the right to obtain confirmation as to whether or not your personal data is being processed by Airbus and if so, what specific personal data is being processed.
  • Right to correct personal data: You have the right to rectify or request to have rectified any inaccurate personal data concerning you.
  • Right to be forgotten (Right to delete):  In some cases, for instance, when the personal data is no longer necessary in relation to the purposes for which they were collected, you have the right for your personal data to be erased.
  • Right to restrict the processing of your personal data: You have the right to restrict the processing of your personal data, for instance when the processing is unlawful and you oppose the erasure of your personal data. In such cases, your personal data will only be processed with your consent or for the exercise or defence of legal claims.
  • Right to data portability: You have the right to receive the personal data concerning you in a structured, commonly used and machine-readable format and/or transmit those personal data to another data controller.
  • Right to object: In some cases required by law, you may ask us to stop processing your personal data.
  • Right to opt-out or withdraw consent: When applicable, you may at any time withdraw such consent when required or opt-out the processing of your personal data by contacting us at the contact details in section “How to exercise your rights and/or contact Airbus in respect of your personal data?”. However, please note that if you withdraw your consent or opt-out to certain services or personal data processing, you may not be able to access and use certain information, features or services as described in section “Are you obliged to provide your personal data?”.

How to exercise your rights and/or contact Airbus in respect of your Personal Data?

If you want to exercise your rights or you are unhappy with the way in which your Personal Data has been processed or should you have any questions regarding the processing of your Personal Data, you may refer in the first instance to the Airbus Data Protection Officer, who is available, at the following email address: dataprotection@airbus.com. If there is doubt about your identity, we may ask you to justify it by enclosing a copy of any identity document.

This data protection mailbox is not intended to receive job or internship/apprenticeship applications. These will not be processed. 

Are you obliged to provide your Personal Data?

Under certain circumstances, when some Personal Data is necessary to enter into a contract or to comply with a legal obligation or company policy, any failure to provide the requested Personal Data may result in your inability to participate in a related recruitment process, or for selected candidates, not being able to fulfil our contractual/legal obligations and thus to enter into a contract with Airbus.

The applicant certifies that the information provided from the account creation and during the recruitment process is true, accurate and complete in all respects and agrees that if Airbus determines that the information is incomplete, false, misleading or unsatisfactory in any respect, the applicant may be disqualified from the application.

Do we use automated decision-making or conduct profiling?

As a matter of principle, we do not use fully automated decision-making processes nor conduct automated processes with the objective of evaluating personal characteristics (profiling). We may use Artificial Intelligence based tools to support decision making, for example to match your application with the required skills and competencies of the position as a simple indicator for the recruiter to assess.

Additional Countries specificity notice

for California residents 

In compliance with the California Consumer Privacy Act of 2018 (“CCPA”), we do not and will not sell or share (as defined by the CCPA) your personal information with third parties unless provided otherwise by a specific privacy notice. California residents have specific rights relating to their personal information, including the right to access, the right to delete, and the right to correct. We do not discriminate against California residents who exercise their CCPA privacy rights. To exercise your California privacy rights please refer to the section “How to exercise your rights”.

for Chinese residents

In accordance with the human resources data flow exception under the Chinese Personal Information Protection Law, we may provide and transfer your personal information to other entities within and outside China in accordance with this Privacy Notice or for other legitimate purposes. We will comply with the applicable obligations and requirements under such law with respect to the sharing and cross-border transfer of personal information, including ensuring the availability of the transfer of your personal information hosted outside of China exclusively for human resources business purposes.

for Canadian residents

Pursuant to Canada’s Personal Information Protection and Electronic Data Act (“PIPEDA”), In regard to cross-border transfers of personal data, your personal data may be sent to another jurisdiction for processing as described by our privacy notice and while the information is in another jurisdiction it may be accessed by the courts, law enforcement and national security authorities of such jurisdiction.
